These terms of use ("terms") govern access to and use of SaaS Policy Manager (the "service"), operated for early years and childcare providers to create, review and keep their organisational policies up to date. By creating an account or otherwise using the service, you agree to be bound by these terms on behalf of yourself and, where applicable, the organisation you represent ("you", "your organisation").
The service lets your organisation activate system policy templates, upload or write your own policies, and keep them current using scheduled comparisons against updated templates and AI-assisted review, simplification and rewording tools. Each organisation's account and content ("tenant") is kept logically separate from every other tenant.
You must provide accurate registration information and keep your login credentials confidential. You are responsible for all activity carried out under your account, including by any staff members your organisation invites. We may require two-factor authentication as an additional account security measure. Notify us immediately of any suspected unauthorised use of your account.
Paid plans are billed in advance on a recurring monthly or annual basis and are processed by our payment provider, Stripe. Subscriptions renew automatically at the end of each billing period until cancelled. Some plans include an allowance of AI credits per billing period, used when generating AI-assisted suggestions; unused credit carries over into the next period rather than resetting. If a renewal payment fails, we may suspend access to paid features until payment succeeds. Fees are shown in GBP and are non-refundable except where required by law.
You retain ownership of the policy content your organisation uploads, writes or generates through the service ("your content"). You grant us a licence to host, process and display your content solely to provide and improve the service, including sending relevant excerpts to the third-party AI providers described in our privacy policy when you use an AI-assisted feature. You are responsible for ensuring you have the right to submit your content and that it does not infringe anyone else's rights.
AI-generated suggestions, rewordings and comparisons are provided to help speed up policy review and are not a substitute for professional, legal or regulatory advice. AI output can be inaccurate or incomplete. A qualified person at your organisation must review and approve any AI-suggested change before it is relied upon or published as an active policy.

You may cancel your subscription at any time from your billing settings; access to paid features continues until the end of the current billing period. We may suspend or terminate access if these terms are breached, if required by law, or if payment remains unresolved after a failed renewal. On termination, we may retain your content for a limited period as described in our privacy policy before it is deleted.
The service is provided "as is" and "as available". To the fullest extent permitted by law, we exclude all warranties not expressly stated in these terms and are not liable for indirect or consequential loss, or for decisions made based on AI-generated suggestions that were not independently reviewed. Nothing in these terms limits liability that cannot be limited by law.
We may update these terms from time to time. If we make material changes, we will take reasonable steps to notify account holders. Continued use of the service after changes take effect constitutes acceptance of the updated terms.
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them, save where mandatory local law provides otherwise.
